Projects & Delivery

No handoff between sales and project tools.

In Trelyn the won deal becomes the engagement your team delivers. Projects, recurring cycles, tasks, deliverables, reviews and files hang off the same client, with everything sales agreed already attached.

From won to delivered

The deal closes. The work is already there.

Create the engagement from the deal in one step, or let the Standard automation do it when the deal is marked won, with a handoff task for the deal owner, a kickoff to plan and billing to set up.

Projects and cycles

Bounded work and recurring work, side by side.

An engagement holds the relationship, fixed scope, retainer, recurring service, time and materials. Under it, run the work the way it is sold.

Project

Bounded client work

A scope, milestones and an end date: a website relaunch, a brand identity, an implementation.

  • Planning, active, on hold, completed
  • Tasks, deliverables, reviews, files and milestones
  • Progress and deadlines in Insights

Cycle

Recurring ongoing work

One period of a retainer or service: October's content calendar, Q4's SEO, this month's support.

  • A current cycle, and the next one when this ends
  • Recurring deliverables and their tasks carried over
  • Each period with its own tasks and deliverables

Doing the work

One place to see what is due.

01Task Center

Sales and delivery tasks, in one list.

The Task Center brings CRM follow-ups and project tasks together, for you, your team or everyone. A task can be blocked by another, with a reason, and a Standard automation can tell the assignee when the blocking task is done.
  • My tasks, Team and All tasks
  • Blocked by another task, with a reason

02Work views

Engagements, projects, deliverables and tasks, in the layout that fits.

  • List
  • Table
  • Board
  • Calendar
  • Timeline

Deliverables and reviews

Feedback where the work lives.

Comments are pinned on the page, the image or the video frame they are about, not in an email thread. Internal review first if you want it, then the client, with the number of included rounds tracked.

01Review

Pinned comments on the actual file.

Open a PDF, Word document, spreadsheet, image or video in Trelyn and pin a remark where it applies, or highlight a passage. Websites are reviewed by clicking elements on the live page. Each deliverable moves from draft through internal review to waiting for client and approved.
  • PDF, Word, Excel, images, video and audio
  • Pins on pages, images and video frames
  • Website review on the live page
  • Client review link that needs no account

02Reviews inbox

Every review, in one inbox.

Reviews collects what needs your review, what is waiting on the client, what is internal and what was approved, across all clients, so nothing waits unnoticed. A Standard automation can chase a client who has not responded.
  • Needs my review, waiting on client, approved
  • Video, image sets, documents and URLs as deliverables

03Files

Files kept with the client, project and deliverable.

Files are organised by client, project and deliverable, with a view of everything shared with clients, favourites and a trash you can restore from. Share a folder with a client and it appears in their portal.
  • Client, project and deliverable folders
  • Shared with clients, favourites and trash

External members

Bring in freelancers without opening the whole workspace.

Invite a freelancer as an external member and give them a whole client, or only the projects or deals they work on. You decide what they can do there.

  • Scoped access

A whole client, single projects or single deals, nothing else appears for them.

  • Chosen permissions

See the project or the budget, work on tasks, see deliverables and reviews, upload or download files.

  • The rest stays closed

Settings, the rest of the CRM, commissions and the client portal are not available to external members.

Questions

About delivery.

What is the difference between a project and a cycle?
A project is bounded work with a scope and an end date: a website, a campaign, an implementation. A cycle is one period of recurring work, this month's content, this quarter's SEO, and the next period can be created with the recurring deliverables and their tasks carried over. Both live under the client's engagement.
How does a won deal turn into delivery?
Create an engagement from the deal with one action, or switch on the Standard automation that does it when the deal is won, together with handoff, kickoff and billing tasks. Projects already linked to the deal join the engagement.
Can clients review work without an account?
Yes. Besides reviews in the client portal, you can send a review link that opens without signing in. Creating a new link turns the previous one off.
Which files can be reviewed in Trelyn?
PDFs, Word documents, spreadsheets, images, video and audio open in the viewer, and comments can be pinned on PDF pages, images and video frames. Websites are reviewed by clicking elements on the live page. Presentations are converted to PDF to be viewed and commented on.
Can freelancers work in Trelyn?
Yes, as external members. Each one gets access to a whole client or to single projects or deals, and you choose what they may do there, see budgets, work on tasks, upload files. Settings, the rest of the CRM, commissions and the portal stay closed to them.
