Client Portal

Give clients visibility, not access to your workspace.

Every client gets a portal with their projects, the work waiting for their approval, agreements to sign, requests and decisions. Your team works in Trelyn; the client sees only what you share, under your name.

A clear boundary

Internal work stays internal.

The portal is not a guest login to your workspace. It is a separate surface that shows the client the records you share with them, and lets them act on those: approve, sign, decide, request, upload.

In the portal

What clients find there.

The same records your team works in, seen from the client's side, so the status they read is the status you work to.

  • Their attention first

The home page opens with what waits on the client, a review, a signature, a decision, then active work and what's coming.

  • Projects and timeline

Each project's progress, timeline, deliveries, shared tasks and files.

  • Deliveries to approve

Clients review the work with pinned comments and approve it, round by round.

  • Agreements and invoices

Proposals and agreements to accept or sign, and the invoices you registered.

  • Decisions

Put a decision to the client; their answer is recorded with name and time.

  • Requests

Clients send new requests in the portal instead of a loose email.

  • Files and documents

Shared folders where clients can also upload, add folders and rename.

  • Meetings and calendar

Upcoming meetings, with a feed they add to Outlook, Google or Apple Calendar.

  • Your contacts

Their account manager and the team working for them, by name and role.

Deal rooms

Before the deal: deal rooms

One link for the proposal, not five attachments.

Set up a deal room from the deal: the proposal and investment, key takeaways, documents, meetings and the people they will work with. Preview it as the client before you send it, and see when they come back to it.
  • Proposal, documents and meetings together
  • Your team introduced by role
  • A button to schedule the next meeting

Your brand

Your portal, under your name.

Clients see your agency: your name, logo, tagline and accent colour on the portal, review pages, booking pages and the emails clients receive.

  • Name, logo and colourShown to clients across the portal and client emails.
  • Hide “Powered by Trelyn”ProNo Trelyn attribution on the client-facing pages.
  • Your own domainOn requestPortal and booking pages on an address like portal.youragency.com.

Access and control

Who sees what, decided per person.

Invite people at the client company and choose, per person, whether they can open the whole portal, a single project or a deal room.

  • Access per contactGrants per company portal, project or deal room.
  • Sign-in by code or passwordClients never get an account in your workspace.
  • Portal activity logYour team sees what clients opened and did; clients are told what is kept and for how long.
  • Revoked when they leaveA Standard automation can revoke portal access when a contact is deactivated.

Questions

About the portal.

  • Included in every plan
  • The number of client portals depends on the plan
What can a client see?
Only what is shared with them: their own projects, the deliveries, tasks, files and documents you share, their agreements and invoices, decisions, requests and meetings. Deal values, internal reviews and comments, other clients and your team's notes stay in your workspace.
Can different people at a client see different things?
Yes. Access is granted per contact: one person can open the whole portal, another only a single project or deal room.
How do clients sign in?
With a code sent to their email address, or with a password. They never get an account in your workspace.
Do you track what clients do in the portal?
Your team can see a log of portal activity. Clients are told what is recorded and for how long, and you choose how long it is kept, between 6 and 60 months.
Can prospects use the portal before they sign?
Yes. A deal room gives a prospect the proposal, documents, meetings and the people on your team. When the deal is won, the same portal carries on with their projects.
